Organization OverviewThe Rockefeller University is a world-renowned center for research and graduate education in the biomedical sciences. The Rockefeller University Dean’s Office oversees the educational programs at the university, including the PhD and postdoctoral programs, and the Summer Undergraduate Research Fellowship (SURF) Program.OverviewThe Dean’s Office Assistant and SURF Coordinator will assist with the day-to-day operations of the Dean’s Office and provide support for the university’s educational programs. The position involves close coordination with the senior staff of the Dean’s Office and daily interactions with faculty, students, postdoctoral fellows and staff.ResponsibilitiesResponsibilities include, but are not limited to the following:General Office Responsibilities:

Greet walk-in visitors to the Dean’s Office and respond to questions

Answer calls to the Dean’s Office general telephone number

Assist with the organization of the Dean’s calendar and managing the accounting for the Dean’s corporate credit card

Schedule in-person and virtual meetings; arrange room setup and catering/audio-visual needs as necessary

Serve as liaison to the Educational Affairs Committee of the Board of Trustees, managing communications, coordinating meeting setup and materials (3 times per year), attending committee meetings, and recording meeting minutes

Assist graduate students and student organizations with purchases and reimbursements; processing applications to the Rockefeller PhD program, communicating with applicants, and organizing events for prospective students

Conduct inventory and order general office supplies as necessary and assist with office maintenance

Special projects as assigned

SURF Program Coordinator Responsibilities:

Serve as the primary liaison between the SURF students and the Program Director

Assist with admissions and recruitment for the program, including attending regional and national recruitment events

Help organize all aspects of the summer program and its various events, both educational and social

Check and respond to emails sent to the Dean’s Office SURF program email account

Regularly assess and update the SURF program website

Special projects as assigned
